Custom ERP and CRM

An ERP and CRM designed around how your company actually works: sales, purchasing, stock, production and approvals in one system, linked to the accounting program you already use, with your old data migrated and the source code handed over per the contract scope.

Factories, wholesalers & multi-branch businesses
“Sales lives in the sales team’s Excel, stock in the warehouse’s own file, the books in another program, and the three totals never agree at month end. The packaged ERP we looked at wanted the whole company to work its way.”

The problem

Many wholesalers, factories and service companies have grown to dozens of people while the systems stayed the same. Sales writes quotations in Excel, the warehouse keeps stock in its own file, purchase approvals happen on LINE, and at month end the accountant keys everything into the accounting program a second time. Sales, stock and the books become three sets of numbers that never agree, and the owner learns last month’s profit when this month is half over.

A packaged ERP comes with conditions of its own. It has its own procedure, so the company reshapes its work to fit the screens, pays for modules nobody uses, and gives up the accounting program the team and the accounting firm have known for years. People drift back to Excel beside the system, and the data is split again.

How we solve it

We start by following one document all the way through: how a quotation becomes a sales order, a stock reservation, a delivery note and a tax invoice, who taps approve, and which steps happen outside any system today. We sit with sales, warehouse, purchasing and accounting one at a time, then design only the modules your company actually uses and release them one part at a time, so the first part is in use while the next is being built.

The accounting program you use stays. The ERP sends sales, purchases and tax invoices into it through whatever channel that program supports, and reconciles the two systems every day. Tax invoices and e-Tax Invoices come out of the system in the Revenue Department’s format. Customers, products and outstanding balances migrate from the old system in full; we reconcile the totals together and run the new system alongside the old one for a period before you decide to switch the old one off.

AI inside the system reads customer purchase orders and supplier invoices into draft documents a person checks before saving, answers questions from the live data in Thai, such as which customers are more than sixty days overdue or which products sold slower than last quarter, and drafts the monthly report first. Access is set by role, approvals that affect money stay with the people in your chain of command, and an audit log keeps every change. The system runs on your cloud or on a server in your building, and the source code and documentation are handed over per the scope in the contract.

How it runs

Work comes in from
  • Quotations and customer purchase orders
  • Purchase requests and supplier invoices
  • Stock from warehouses and branches
  • Customers and products from the old system
What the AI does
  1. Read documents into drafts for a person to check
  2. Reserve stock and cost materials by job order
  3. Route approvals to the right people
  4. Answer questions and draft reports from live data
Where it lands
  • Sales orders and tax invoices from one system
  • Your accounting program and e-Tax Invoice
  • Dashboard of sales, stock and cash
  • Your data, and the source code per the contract scope

Before and after

Before
After
Sales, stock and the books are three sets of numbers, reconciled by hand at month end
One document flows from sales to warehouse to accounting, and the totals agree every day
Approvals on LINE, then keyed into the accounting program again
Approval in the system opens the purchase order itself, with a record at every step
The owner learns last month’s profit when this month is half over
Sales, stock and cash are on the dashboard every morning

What you get

  1. 01

A sales, quotation and CRM module that shows each customer’s purchase history, outstanding balance and open quotations, and turns a quotation into a sales order and tax invoice on one screen

  2. 02

Purchasing and approvals that follow your own chain of command: a purchase request reaches the approver on LINE or email, one tap approves it and opens the purchase order, with a record of who approved what and when

  3. 03

Stock across several warehouses, with receiving, reserving, picking and counting from a phone, and production or job orders that consume materials and show the real cost per job

  4. 04

A link to the accounting program you already use, sending sales, purchases and tax invoices through whatever channel that program supports, e-Tax Invoices in the Revenue Department’s format, and your old data migrated and reconciled with your team

  5. 05

A dashboard where the owner sees sales, stock and cash day by day, an AI assistant that reads purchase orders and invoices into the system, answers questions from the data in Thai and drafts the monthly report, with role-based access and an audit log

Who gets what

Business owner

Sales, stock and cash for every branch on one page each morning, a system that follows how the company works, and an accounting firm still on the program it knows.

IT director

The accounting link goes through whatever each program supports (API or import file), never a direct write to the database. Role-based access, an audit log on every record, deployment on your cloud or on-premise, and the source code handed over per the contract scope.

The team using it every day

Sales opens a quotation from the customer’s history in a minute, the warehouse counts stock from a phone, and accounting stops keying twice because every document arrives with the details complete.
