B2B catalogue and quote requests

A catalogue where dealers log in to see their own price list, reorder and request quotes themselves, and sales receives each request with the full spec in the CRM.

A supply-store owner uses a tablet at his counter: dealer price list, product quantity, quote request sent, reorder button. Factories & wholesalers
“Dealers send what they want on LINE, sometimes a photo, sometimes typed. Sales opens that dealer’s price in Excel and builds a quote by hand every time. Some specs have changed, and the PDF catalogue is still the old one.”

The problem

Selling to dealers today runs on LINE and Excel. A dealer sends a photo of a handwritten list or a two-line message, sales guesses the model, opens that dealer’s price file, builds a quote in Excel and sends it back. Half a day per request, and wrong at any step from the model number to a price nobody updated.

The catalogue customers receive is a PDF printed two years ago. Some specs have changed, some models are discontinued, overseas customers wait for sales to translate, and when a rep leaves, the prices and terms of the dealers they handled leave with their laptop.

How we solve it

We build a web catalogue that pulls names, specs, images, datasheets and stock straight from the ERP: change it once in the ERP and the site changes in every language. Walk-in visitors see products and can request a quote. Dealers log in and see their own contract prices, order history and order status, and reorder a past order in a few clicks.

When a quote request comes in, the system drafts the quote from that dealer’s prices, discounts and terms and sends it to the covering rep on LINE. The rep checks, edits if needed and sends; the customer has a PDF the same day. AI chat helps customers find a product from a typed spec or a photo of the old part, suggests the closest models and gives lead time from live data.

Prices and credit always belong to people. The system never discounts below the set price, and an order past the dealer’s credit limit needs a manager’s approval before it enters the ERP. Every quote and every order records who approved it and when, so each dealer’s history stays with the company even when the rep changes.

How it runs

Work comes in from
  • Products and stock in the ERP
  • Dealers logged in
  • Quote requests from the site
  • Questions and photos in AI chat
What the AI does
  1. Update the catalogue in every language
  2. Find products by spec or photo
  3. Draft the quote on the dealer’s terms
  4. Send to sales to check and approve
Where it lands
  • Quote PDF to the customer
  • Orders into the ERP
  • Rep alerted on LINE
  • Dashboard of sales per dealer
