Guest app and hotel booking

Guests book direct, check in before they arrive and order from the room, housekeeping and maintenance take jobs on a phone, and everything agrees with the PMS.

A guest on a lounger by a sea-view pool checks her phone: check-in, room key, room service, spa booking and late checkout. Hotels & resorts
“Guests queue at the desk to check in and phone for room service. Housekeeping learns which rooms are free from a sheet of paper passed around.”

The problem

Most hotels run a PMS that holds every room and every bill, and the only people who can reach it are the staff behind the desk. So guests queue to check in after a day of travel, phone the operator for a towel and ask the breakfast hours of one staff member after another. Housekeeping learns which rooms have checked out from a sheet the supervisor brings round mid-morning, so a room that is already empty stays unsellable for hours.

Direct bookings from the hotel’s own website usually end in a form that staff retype into the PMS, so the rates and availability guests see are out of date, and the hotel keeps paying OTA commission on guests who wanted to book direct anyway.

How we solve it

We build a guest app connected straight to your PMS. Guests see the same availability and rates as the front desk, book and pay in the app, fill in their check-in details before they travel, and where the hotel has digital locks, receive the key on their phone and walk to the room. During the stay they order room service, ask for towels or report a broken air-conditioner from the app, and the request lands in the responsible department at once.

On the staff side, housekeeping opens the app to see checked-out rooms in order, taps when a room is done, and the PMS learns at once that it can be sold again. Maintenance sees each job with the guest’s photo attached. The assistant answers guests’ general questions in their own language from the hotel’s information, and the manager’s dashboard shows which requests have waited longer than the agreed time.

Refunds, free upgrades and bill adjustments stay with staff. The system prepares the details and changes nothing on the PMS bill until a person confirms. And when a guest wants a human, one button in the app rings the desk.

How it runs

Work comes in from
  • Guest books in the app or on the hotel site
  • Requests from the room
  • Room status from the PMS
  • Guest questions in the app
What the AI does
  1. Confirm the booking and pre-check-in
  2. Route requests to the right department
  3. Answer in the guest’s language
  4. Post room status back to the PMS
Where it lands
  • PMS and channel manager
  • Housekeeping and maintenance app
  • Digital key on the guest’s phone
  • Manager’s dashboard
