The problem
The service advisor takes booking calls all day while receiving cars at the front. Most questions are the same. What does this service cost, is Saturday free, how long will it take. Each one means opening the booking system, opening the price list and calling back. At the showroom, a customer who asks about a test drive on Facebook in the evening hears back the next morning.
Every car sold has a record in the DMS saying when its next service is due, and nobody messages the owner about it. So the owner thinks of the garage near home first, and the centre loses service revenue it should earn every year.
How we solve it
We connect the agent to the DMS and the centre’s booking system. When an owner messages on LINE OA about a service, it asks for the plate or mileage, lists the work and the standard price for that model, offers the bays that are actually free and books one on the spot, with how long it will take and whether courtesy transport is available. It reminds again before the day.
For every car in the system, the agent watches the service, insurance and tax dates in the history and messages the owner ahead of time with a booking button in the same message. During the repair it sends progress updates. If the technician finds extra work, the agent sends the items and prices for the customer to approve in the chat, and confirms the pickup time when the car is ready. At the showroom, it books test drives against the cars and reps free and passes the booking to the rep with the model the customer wants.
Pricing repairs outside the standard list, discounts and insurance claims stay with the service advisor and the technician. The agent quotes only the items you have priced in advance, and the customer approves every item that adds cost.
